Administrative & Accounting Assistant
Job Summary:
The Administrative & Accounting Assistant supports a range of financial and administrative functions, including accounts payable/receivable, bill payment, insurance coordination, payroll reporting support, reconciliations, property management support as needed and maintaining accurate records. This is a part time position that will take 2.5 to 3 days a week.
Key Responsibilities:
- Maintain organized digital and physical filing systems
- Manage business insurance documentation and renewal schedules
- Support workers’ compensation and payroll-related reporting
- Process invoices, check requisitions and purchase orders with accuracy
- Respond to vendor and customer inquiries professionally and promptly
- Record financial transactions in accounting software. Reconcile general ledger and vendor accounts; assist with monthly expense reports.
- Prepare documentation for audits and issue tax forms (e.g. 1099s) Process deposits, receipts and transfer checks.
- Maintain fixed asset records and ensure accurate posting to general ledger
- Communicate financial information effectively through reports and written materials
- Handle returned checks and maintain associated records
- Handles security deposits and refunds
- Verifies check clearing with banking institution
- Answers phone and assists property manager as needed
- Other duties as assigned
- Proficient with office equipment and accounting software (Appfolio experience a plus)
- Strong attention to detail and organizational skills. Able to interpret and apply accounting standards
- Effective communicator with ability to prepare and explain financial data
- Comfortable with sedentary office work and routing handling of equipment
- Analytical and capable of evaluating data trends and discrepancies
- Associate’s degree in Business, Accounting or related field
- 3+ years of experience in accounting, purchasing, or inventory management
- Valid driver’s license
- Equivalent education and experience considered
